1. Services covered by these terms

2. Booking and engagement

Services are engaged by direct enquiry and written agreement. Where applicable, a quote or pricing confirmation is provided before services commence. Acceptance of an invoice, quote, booking confirmation, or payment constitutes acceptance of these Terms and Conditions.

3. Service delivery and fulfilment

Services are delivered as scheduled and agreed in writing. Delivery may include scheduled sessions, workshops, planning and review meetings, documentation support, and competition preparation activities. The service scope, schedule, and delivery format will be confirmed before payment is requested.

4. Pricing and GST

Prices are provided as a quote, rate, or invoice and may vary depending on scope, duration, group size, delivery format, and materials. Where applicable, GST is charged at the prevailing rate and shown on invoices.

5. Payment terms

Payment is required prior to commencement of services unless agreed otherwise in writing. We may accept bank transfer and other payment methods made available from time to time. Availability of payment methods can change depending on provider requirements.

6. Cancellations, rescheduling, and refunds for services

CMR Robotics Limited primarily provides services rather than physical products. As a result, once a service has been delivered (in whole or in part), it cannot be returned. The following conditions apply:

  • No refunds for services rendered: Fees are non-refundable for services that have already been delivered.
  • Late cancellation: Cancellations with less than 48 hours notice may be charged in full.
  • No-show: If a customer does not attend a scheduled service without notice, the session may be charged in full.
  • Rescheduling: We may allow rescheduling at our discretion, subject to availability.
  • Prepaid services not yet delivered: Refunds are assessed case by case, unless required by law.

7. Consumer Guarantees Act

If you acquire services for personal, domestic, or household use in New Zealand, rights under the Consumer Guarantees Act 1993 apply. If you acquire services for business purposes, you agree that the Act does not apply to the extent permitted by law.

8. Health and safety

We take reasonable steps to provide a safe learning environment. Participants must follow safety instructions and reasonable directions. CMR Robotics Limited is not liable for injuries caused by misuse of equipment, failure to follow safety guidance, or actions outside the scope of our services.

9. Behaviour and conduct

Participants are expected to behave respectfully and safely. We reserve the right to suspend or remove any participant for misconduct, bullying, repeated safety breaches, or behaviour that negatively impacts others. Fees are not refundable in such cases, unless required by law.

10. Supervision and responsibility

Supervision is provided during scheduled sessions only. Parents or guardians are responsible for transport to and from sessions and ensuring participants are collected on time. We are not responsible for participants outside scheduled hours.

11. Off-site events, competitions, and travel

Some services may involve off-site events such as competitions, workshops, or visits. While reasonable care is taken, participation in off-site activities is at your own risk. CMR Robotics Limited is not liable for events outside its reasonable control.

12. International competition support

International competition support may involve planning, training, build preparation, compliance reviews, documentation support, and technical assistance around an overseas event. Costs and scope can vary substantially depending on travel, event requirements, and team needs. Any international support is provided only when agreed in writing and may be subject to availability.

13. Intellectual property

Unless agreed otherwise in writing, training materials, lesson content, documentation templates, and resources created by CMR Robotics Limited remain our intellectual property. Materials may not be reproduced, distributed, or sold without permission.

14. Payment security

Payments are processed securely using third-party payment providers that comply with PCI DSS requirements. CMR Robotics Limited does not store full card details.

15. Privacy

Personal information is collected and used for managing enquiries, enrolments, safety, service delivery, and communications. Information is handled in accordance with the Privacy Act 2020 and our Privacy Policy.

16. Media and photography

Photos or videos may be taken during sessions or events for programme or promotional purposes. If you do not wish for a participant’s image to be used, you must notify us in writing.

17. Force majeure

Services may be paused, moved online, rescheduled, or adjusted due to events beyond our reasonable control, including illness, natural disasters, pandemics, venue closures, or other unforeseen circumstances. Where services cannot reasonably continue, alternative arrangements or refunds may be offered at our discretion, unless required by law.

18. Limitation of liability

To the fullest extent permitted by law, CMR Robotics Limited is not liable for indirect, consequential, or incidental losses. Total liability is limited to the amount paid for the relevant service or, for annual registrations, the amount paid in the current registration period.

19. Chargebacks and disputes

If you have a billing concern, please contact us in writing before initiating a chargeback. Unauthorised chargebacks may result in suspension of services until the matter is resolved.

20. Governing law

These Terms and Conditions are governed by the laws of New Zealand.

Annual Registration Terms

The following terms apply specifically to annual programme registrations. Where there is any inconsistency, these terms take precedence.

1. Full-year registration

Registration is for a full 12-month period beginning on the invoice date. There are no partial or half-year registration options, and full fees apply regardless of attendance frequency or join date.

2. Invoicing and GST

All registration fees are inclusive of GST. Invoices are issued by CMR Robotics Limited. Payment details and due dates are included on each invoice.

3. Flexible payment schedule

We allow flexible payment arrangements. As long as payments align proportionally with the time elapsed between the invoice date and the final due date (the Friday before NZ FTC Nationals), your account is considered up to date. Example: If 50 percent of the year has elapsed, 50 percent of the total fee should be paid.

4. Final due date

All outstanding balances must be paid in full no later than the Friday before NZ FTC Nationals, regardless of payment schedule.

5. Participation and training access

Participation in competitions (local, regional, or national) requires your account to be up to date. If payments fall significantly behind the expected schedule, access to training sessions may be temporarily paused until the account is brought back in line. We will work with families where possible to find a solution.

6. Withdrawal and refunds

Once the season begins, fees are non-refundable unless required by law. Requests to withdraw will be considered case by case, but do not guarantee any refund or reduction.

7. Behaviour and conduct

All participants are expected to act respectfully and safely. We reserve the right to suspend or remove any participant for misconduct, bullying, repeated safety breaches, or behaviour that negatively impacts others. No refunds will be issued in such cases, unless required by law.

8. Supervision and responsibility

CMR Robotics Limited provides supervision during scheduled sessions only. Parents or guardians are responsible for transport to and from sessions and for ensuring participants are collected on time. We are not liable for participants outside scheduled hours.

9. Travel, off-site events, and risk

Some events may take place off-site (for example competitions or workshops). While we take reasonable steps to ensure safety, participation in off-site events is at your own risk. By registering, you acknowledge that participants may travel with other families or team leaders, and CMR Robotics Limited is not liable for events outside its control.

10. Health and safety

We take reasonable precautions to provide a safe environment. Participants must follow instructions and safety rules. We are not liable for injuries caused by misuse of equipment, failure to follow safety guidance, or acts outside the scope of our activities.

11. Force majeure and continuity

In the event of disruptions outside our control, services may be paused, moved online, rescheduled, or adjusted. If services cannot continue (for example due to incapacity of key personnel), we will explore reasonable alternatives or refunds at our discretion, unless required by law.

12. Limitation of liability

To the fullest extent permitted by law, CMR Robotics Limited shall not be liable for any indirect, consequential, or incidental damages. Total liability is limited to the amount paid in the current registration period.

13. Privacy and communications

We collect personal information to manage enrolments, safety, and programme communications. All data is handled in line with the Privacy Act 2020. Contact details may be used to send important updates about sessions, events, or fees.

14. Media and photography

We may take photos or videos during sessions or events for promotional purposes. If you do not wish for a participant’s image to be used, please notify us in writing.

15. Disputes

We aim to resolve disputes fairly and promptly. If you have a concern, please raise it with us directly in writing. If unresolved, disputes will be governed by the laws of New Zealand.

16. Referral bonus programme

CMR Robotics Limited may offer a referral credit to recognise existing families who introduce new participants. Referral credits are subject to eligibility criteria and programme rules in effect at the time. Credits are non-transferable, have no cash value, and may only be applied to future registration fees unless agreed otherwise in writing. We reserve the right to amend, pause, or cancel the referral programme at any time.

17. Acceptance and updates

By registering a participant and making payment, you agree to these Terms and Conditions. CMR Robotics Limited reserves the right to update these terms at any time. The current version will be available on this website.
