Terms and Conditions

These Terms and Conditions apply to all participants enrolled in the CMR Robotics programme. By registering and making payment, you agree to the terms set out below.

1. Full-Year Registration

Registration is for a full 12-month period beginning on the invoice date. There are no partial or half-year registration options, and full fees apply regardless of how often a participant attends or when they join.

2. Invoicing and GST

All registration fees are inclusive of GST (15%). Invoices are issued by CMR Robotics Ltd, a registered New Zealand company. Payment details and due dates are included on each invoice.

3. Flexible Payment Schedule

We allow flexible payment arrangements. As long as payments align proportionally with the time elapsed between the invoice date and the final due date (the Friday before NZ FTC Nationals), your account is considered up to date.
Example: If 50% of the year has elapsed, 50% of the total fee should be paid.

4. Final Due Date

All outstanding balances must be paid in full no later than the Friday before NZ FTC Nationals, regardless of payment schedule.

5. Participation and Training Access

Participation in competitions (local, regional, or national) requires your account to be up to date. If payments fall significantly behind the expected schedule, access to training sessions may be temporarily paused until the account is brought back in line. We’ll always work with families where possible to find a solution.

6. Withdrawal and Refunds

Once the season begins, fees are non-refundable unless required by law. Requests to withdraw will be considered case-by-case, but do not guarantee any refund or reduction.

7. Behaviour and Conduct

All participants are expected to act respectfully and safely. We reserve the right to suspend or remove any participant for misconduct, bullying, repeated safety breaches, or behaviour that negatively impacts others. No refunds will be issued in such cases.

8. Supervision and Responsibility

CMR Robotics provides supervision during scheduled sessions only. Parents/guardians are responsible for transport to and from sessions and for ensuring participants are collected on time. We are not liable for participants outside scheduled hours.

9. Travel, Off-Site Events, and Risk

Some events may take place off-site (e.g. competitions, workshops). While we take reasonable steps to ensure safety, participation in off-site events is at your own risk. By registering, you acknowledge that participants may travel with other families or team leaders, and CMR Robotics is not liable for events outside its control.

10. Health and Safety

We take all reasonable precautions to provide a safe environment. However, participants must follow instructions and safety rules. We are not liable for injuries caused by misuse of equipment, failure to follow safety guidance, or acts outside the scope of our activities.

11. Force Majeure and Continuity

In the event of disruptions outside our control—such as illness, natural disasters, pandemics, venue closures, or other unforeseen circumstances—services may be paused, moved online, rescheduled, or adjusted. If services cannot continue (e.g. due to incapacity or death of key personnel), we will explore reasonable alternatives or refunds at our discretion.

12. Limitation of Liability

To the fullest extent permitted by law, CMR Robotics Ltd shall not be liable for any indirect, consequential, or incidental damages. Total liability is limited to the amount paid in the current registration period.

13. Privacy and Communications

We collect personal information to manage enrolments, safety, and programme communications. All data is handled in line with the Privacy Act 2020. Contact details may be used to send important updates about sessions, events, or fees.

14. Media and Photography

We may take photos or videos during sessions or events for promotional purposes. If you do not wish for a participant’s image to be used, please notify us in writing.

15. Disputes

We aim to resolve any disputes fairly and promptly. If you have a concern, please raise it with us directly in writing. If unresolved, disputes will be governed by the laws of New Zealand.

16. Referral Bonus Programme

CMR Robotics Ltd may offer a referral credit to recognise and reward existing families who help grow the programme. The current referral bonus is $300 (incl. GST) credited to the referring family’s account, subject to the following terms:

  • The referred participant must be a new student who has never previously registered or attended sessions with CMR Robotics
  • The referrer must introduce the new family directly to CMR Robotics before the referred party makes any contact (e.g. email, registration, enquiry form). Referrals made after initial contact will not qualify
  • The referred student must complete full registration and pay their annual registration fee in full before the credit is issued
  • Referral credits are only redeemable against future registration fees. They cannot be applied to competition costs, travel, merchandise, or any other charges
  • Credits are non-transferable and hold no cash value
  • There is no cap on the number of eligible referrals a family may make
  • Referral credits must be used within 12 months of being applied, unless otherwise agreed in writing
  • Referral bonuses may be revoked if the referred student withdraws, is removed from the programme, or receives a refund
  • This programme is intended for genuine referrals only. CMR Robotics Ltd reserves the right to decline or reverse a credit if the referral is deemed not to meet the spirit of the programme or is found to be misused

Discretion and Changes
CMR Robotics Ltd reserves the right to interpret, amend, pause, or cancel the referral programme at any time without prior notice. All decisions regarding eligibility and credit application are final and made at the sole discretion of CMR Robotics Ltd.

Acceptance

By registering a participant and making payment, you agree to these Terms and Conditions. CMR Robotics Ltd reserves the right to update these terms at any time. The current version will always be available on our website or upon request.
